Descrição da função
  • Assist the MD of the company and be a link between MD and other Departments;
  • Organize appointments for MD with Government institutions and others;
  • Prepare, send and file letters/e-mail for MD;
  • Receive all internal and external mail (from Paris, affiliates and others companies) and distribute them to Departments
  • Organize MD file;
  • Coordinate and send express mails (DHL) and Fax’s to Paris and other affiliates;
  • Receive and organize all documents (checks, invoices, letters, etc.) from Departments, delegates and submit to MD signature and approval;
  • Organize meetings with clients and/or staff of the company and other Directors;
  • Organize the reception of visitors, ( hotel bookings, transport, Logistic, pick up);
  • Coordinate and organize MD and all other staff missions (flight tickets, hotel bookings, pick up, etc);
  • CTo coordinate and organize cocktails, lunch etc;
  • Work with SAP system – preparing Purchase Requests and orders for MD; Responsible for the purchase of office stationeries.

Aptidões necessárias
  • Academic qualifications. Knowledge of modern secretary’s methods and technics
  • Good communication skills
  • Computer Skills
  • Long experience as assistant
  • Fluent in both Portuguese and English and good knowledge of French
  • Objectivity
  • Flexible
  • Ability to work under pressure
